Faculty of Science Postgraduate Publication AwardThe Faculty of Science Postgraduate Publication Award (PPA) scheme provides financial support for Science postgraduate research candidates who have submitted their thesis for examination and wish to write up some of their research for publication while they await the result of their examination.

1. Overview of the schemeThe scheme aims to encourage such candidates to disseminate their research findings to the wider public through publication in professional journals or books. The scheme is not intended to provide financial support to candidates who have not yet submitted their thesis, or to former candidates whose thesis has been accepted in partial fulfilment of the requirements for the research degree. 2. EligibilityThe Faculty of Science Postgraduate Publications Award is available to postgraduate research candidates enrolled in either the course Doctor of Philosophy (PhD) or Master of Science (MSc) and who have submitted, or are about to submit, their thesis for examination. This Award is available to those who have applied for a Monash University Postgraduate Publication Award in one of the four annual rounds as listed in table 1 below. The award can only be taken up when the thesis is submitted. Applicants must have at least two papers published, in press or accepted at the time of applying and one further manuscript submitted. (Tier A and/or B). ( * The eligible thesis submission date lies within the three-month interval that begins one month before the closing date and ends two months after the closing date of the round.) 3. Number of awardsThis award is available to all candidates that meet the eligibility requirements and conditions of taking up the award. 4. Benefits of awardThe scheme will provide a stipend equivalent to the stipend rate of the Australian Postgraduate Award (APA) for a maximum period of 3 months. 5. Funding arrangementsThe school in which the awardee is enrolled will contribute 50 per cent of the stipend while the Faculty of Science will meet the balance. The stipend is to be paid by the school and reimbursement then sought from the faculty at the expiration of the award tenure. If an awardee fails to submit two manuscripts, the Faculty will not pay any contribution (and Schools could request the supervisor/research group to reimburse the money paid). If only one manuscript is submitted, the Faculty will not pay its 50% either (until a second manuscript is submitted). Schools may choose to support an applicant for a Monash University Postgraduate Publication Award, but not necessarily for a Faculty of Science award. 6. Nomination proceduresTo be eligible, all applicants must adhere to the application procedures stipulated by the Monash Research Graduate School for the Monash University Postgraduate Publication Award Scheme, and apply for a Monash PPA in the current round. It is the responsibility of the applicant to ensure the application is complete and has the endorsement of both the supervisor and head of school and that the original application is lodged with the Faculty of Science Research Office (Room G38, Building 19N, Clayton campus) by the stipulated deadline. Should an applicant be unsuccessful in being awarded a Monash PPA, and is eligible for a Faculty of Science PPA, the applicant’s supervisor will be contacted and invited to submit a Faculty of Science PPA nomination form to the Faculty of Science Research Office for processing.
7. Selection processAll applications for the Monash University Postgraduate Publication Award are ranked at the faculty level. An applicant who is awarded a Monash University Postgraduate Publication Award is not eligible to also hold a Faculty of Science award. All applicants that meet the eligibility requirements and are nominated for the Faculty of Science Postgraduate Publications Award who do not receive a Monash University Postgraduate Publications Award will receive Faculty of Science Postgraduate Publications Award. Priority for candidates who have submitted within a given timeframe Candidates will be expected to have submitted their thesis within a period of three and a half years (42 months) of full-time equivalent (FTE) candidature, and likewise to masters candidates who submit within two years (24 months) of FTE candidature. For doctoral candidates who transferred from a masters program, the masters candidature shall be included in the total length of expired candidature. Where the length of candidature exceeds these limits, the application will be considered only where the school includes a letter from the supervisor and head of school that adequately documents the exceptional circumstances affecting the candidature. Prior holding of scholarship No consideration shall be made of whether an applicant previously held a scholarship during the period of candidature. 8. Conditions of taking up the awardSubmission of thesis The award should be taken up immediately if the thesis has already been submitted when the offer is made. In the event that exceptional circumstances cause a delay of the anticipated submission, awardees may seek a short-term extension provided the case for delay is adequately documented and confirmed in writing by the supervisor and head of school Expectations of awardees Two manuscripts must be submitted under the Faculty of Science Postgraduate Publications Award scheme. Restriction on concurrent holding of award with other award An award cannot be held concurrently with another award offering similar benefits. Variations to the award Any variations to the holding of the award must be consistent with the eligibility criteria for the original submission. No extensions will be granted that would shift the thesis submission date into the eligibility interval of a subsequent selection round. Employment and time requirements The awardee must be physically present to accept the award, to attend the relevant school or centre on a daily basis, and to maintain regular communication with the nominated supervisor(s) during the tenure of the award. An awardee cannot take either full-time or substantial part-time employment during the tenure of the award (that is, not more than 15 hours a week of employment and not more than six hours during the period 9 am - 5 pm, Monday to Friday). Part-time awards Part-time awards may be awarded. Awardees with overseas student visas Awardees with overseas student visas are advised that should the thesis examination be finalised during the award tenure, the award will be terminated as stipulated by the Australian Government Department of Immigration and Multicultural and Indigenous Affairs. Termination of award The thesis examination is deemed to be finalised on the date when the award of degree is approved (by the Steering Committee of the Research Graduate School Committee in the case of doctoral candidates, or the Research Degrees Committee for masters candidates), and the award will be terminated on that date. Completion of the Final Report Awardees must complete and submit a ‘Final Report’ at the end of the award period to the Faculty of Science office. The form to be used is the Faculty of Science Postgraduate Publication Award Scheme Final Report form. Acknowledgment of receipt of Faculty of Science Postgraduate Publication Award It is expected that candidates will acknowledge, in their publication(s), support received from the Faculty of Science Postgraduate Publication Award. 9. Completion of the Final ReportAwardees must complete and submit a ‘Final Report’ at the end of the award period to the Faculty of Science Research Office.
